Saint Paul Federation of Educators (SPFE) is a union of teachers and educational support professionals that is a national leader in innovative, social justice unionism. SPFE is affiliated with Education Minnesota, the American Federation of Teachers, and the National Education Association and represents 3500+ licensed employees, educational assistants (EA), and school and community service professionals (SCSP) in over 55 schools and educational programs in the St. Paul Public School District.
Major Duties and Responsibilities
The SPFE Office Clerk/Secretary works closely with local union leadership to support the office operations. The person in this position will welcome visitors and answer phones; maintain our member database and office calendar; purchases office supplies and maintain office equipment; assist in the coordination of meeting and event planning; and provide other support as needed. This position will report to the SPFE Staff Director and duties and responsibilities include:
- Welcome visitors and answer phone calls: Greet visitors to our office, help them feel welcome and direct them appropriately. Answer phones and direct calls to the appropriate staff.
- Maintain member database and support new membership recruitment: Provide membership information to new St. Paul Public Schools (SPPS) employees who are eligible for SPFE membership. Update the SPFE database with new member signs up and biweekly downloads from SPPS. Generate lists and spreadsheets of members as needed for staff and stewards. Communicate with SPPS payroll staff with membership updates and changes.
- Maintain office calendar: Maintain office conference room calendar and schedule rooms for staff and members as needed.
- Purchase and maintain office supplies and equipment: Purchase office supplies and equipment at the direction of the President. Coordinate copier and postage meter maintenance.
- Assist in coordination of meetings and events: Support leadership and other staff in ordering food, securing space and supplies, setting up, and preparing materials for meetings and events.
- Provide general office support to staff: Provide secretarial support to staff as needed, such as typing correspondence, printing materials, and other duties as assigned.
Qualifications:
We are seeking candidates who have:
- High school diploma or equivalent.
- Minimum one year relevant experience.
- Professional demeanor and customer service-oriented attitude.
- Strong computer skills and ability to learn new platforms and programs quickly. Preferred experience with FileMaker Pro, Microsoft Office, Google Docs, and Dropbox.
- Excellent communication, multitasking, and time-management skills.
- Ability to maintain confidential information with discretion.
- Ability to work independently and take initiative.
- Preferably, a strong interest in social justice, public education, and labor unions.
This is a full-time (Monday-Friday, 9am-5pm), in-person, benefit eligible position (health insurance, retirement benefits, vacation, paid holidays, and sick time) in the OPEIU Local 12 bargaining unit. In addition to twelve paid holidays, you receive paid days off for the week of July 4thand paid days off in between the Christmas and New Year’s Day holidays. The wage range for this position is $25/hour-$31/hour, commensurate with experience. Additional hours available occasionally.
